REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br /> <br />June 8, 2015 <br /> <br />SUBJECT <br />Amendment No. 1 to Agreement for Design Services with Verde Design, Inc. for the <br />Red Morton Synthetic Turf Replacement and Tennis Court Reconstruction Project <br /> <br />RECOMMENDATION <br />By motion, approve and authorize the City Manager to execute Amendment No. 1 with <br />Verde Design Services for the Red Morton Synthetic Turf Replacement and Tennis <br />Court Reconstruction Project in the amount of $57,160 for a total contract amount of <br />$300,557 <br /> <br />BACKGROUND <br />On November 12, 2014, the City Council approved the original agreement with Verde <br />Design, Inc. (“Verde”) for architectural design services for the replacement of synthetic <br />turf, lighting upgrade, and tennis court replacement at Red Morton Park. Verde’s <br />original scope of work included project start-up and site investigation; geotechnical <br />analysis; determine methodology for synthetic turf material; 50% initial design submittal; <br />engineering calculations; 90% pre-final design submittal; final design submittal; bid <br />support and construction services. The original agreement was in the amount of <br />$243,397. <br /> <br />ANALYSIS <br />Verde has been working closely with the Parks, Recreation and Community Services <br />Department on the original scope of work items, and during this process the City <br />discovered the need for additional services to achieve the best results for this project. <br />Additional tasks needed include: extensive field remediation work based on the results <br />of the geotechnical investigative report; analysis of complete replacement of sport field <br />lighting that required additional electrical and structural engineering; the installation of a <br />little league batting cage and the design and engineering requirements; and new <br />electrical service requirements for Mitchell Field. The new tasks and time estimated <br />costs by Verde totals $57,160 which exceed the 10% increase allowed for the City <br />Manager to sign off and now requires City Council approval. <br /> <br />ALTERNATIVES <br />Council may choose not to authorize the execution of Amendment No. 1 and direct staff <br />to consider other alternatives. However, this would cause a delay to the project <br />timelines. <br />7.1.C. - Page 1
