REPORT
To the Honorable Mayor and City Council
From the City Manager

April 22, 2002

Subject
Cost Reimbursement Agreement for the Adjustment of Water Valve Boxes in various
County of San Mateo rights-of-way.

Recommendation
Approve and authorize the City Manager to execute an agreement with the County of San
Mateo, for the adjustment of water boxes, in conjunction with the resurfacing of Springdale
Way, West Summit Drive, North View Way, Summit Court, Oak Park Way, Agua Vista
Court, South Oak Park, Sunset Way and East View Way, in the unincorporated water
service area of San Mateo County.

Background
The County of San Mateo is preparing plans, specifications and bid documents for the
resurfacing of Springdale Way, West Summit Drive, North View Way, Summit Court, Oak
Park Way, Agua Vista Court, South Oak Park, Sunset Way and East View Way in the
Emerald Lake Hills area. Existing within the limits of this project are 41 water valve boxes,
which are part of the City's water distribution system.
The county has estimated the cost of adjusting these water valve boxes to the new surface
elevations following the roadways resurfacing at approximately $10,250. The total sum to
be reimbursed to the County will be determined from the actual costs which including
contingencies, incidentals and overhead expenses will not exceed $11,300.
City staff has reviewed the proposal and has found the costs to be reasonable and
comparable with current contract charges.

Alternative
The City could contract separately for this work. The cost for the work would most likely be
more costly than the county's proposal, because of the economy of scale.

Fiscal Impact

$84,4This is an unbudgeted expenditure. Staff recommends to fund the amount of $11,300 from
e Distribution System Replacement Project in the Water Capital Improvement Program
18 balance available ).

Manuel Rosa~ Peter Ingram ~ ' Ec~ Everett
Public Works Superintendent Public Works ~ervices Director City Manager

Attachments

Agreement
