City of Redwood Cit3 <br /> - � Proposed <br /> January 1977 <br /> CONFIDENTIAL SECRETARY <br /> DEFINITION <br /> Under general supervision , performing difficult and confidential <br /> secretarial tasks involving employer-employee relations ; does related <br /> work as required . <br /> DISTINGUISHING CHARACTERISTICS OF THE CLASS <br /> This is responsible secretarial and administrative work which involves <br /> acting in a confidential capacity to a management person who formulates , <br /> determines and effectuates management policies with regard to labor <br /> relations , considerable judgement and tact are required in handling many <br /> of the diverse problems that occur . Improper action may have a serious <br /> impact on labor relations or impair public relations . In some areas of <br /> work , some latitude for the exercise of independent judgement exists , <br /> limited by review and general policy determined by the department head . <br /> A Confidential Secretary may lead other clerical employees in the <br /> performance of work . <br /> EXAMPLES OF DUTIES <br /> Takes and transcribes difficult dictation .involving employer-employee <br /> relations , technical or legal terminology ; prepares replies to corre- <br /> spondence from brief dictated notes or on own initiative ; establishes <br /> and maintains cross - reference files and establishes file categories ; type : <br /> complex statistical or other reports requiring a number of separate <br /> tabulations ; types confidential reports , forms , memoranda , letters , and <br /> other materials which involve employer- employee relations ; screens <br /> visitors , telephone calls and incoming mail , personally answering those <br /> inquiries which do not require the supervisor ' s attention ; makes appoint- <br /> ments for management and reminds them of appointments or other matters <br /> that should be called to their attention ; processes new employees and <br /> makes arrangements for their employment ; maintains position classifi- <br /> cation and personnel records ; composes replies to correspondence without <br /> dictation in accordance with established procedures ; prepares and types <br /> requisitions for the purchase of supplies and equipment ; receives and <br /> screens applications , schedules examinations and prepares eligibility <br /> lists ; performs data processing imput operations and audits computer <br /> data ; answers telephone and gives general information in response to <br /> public or employee inquiries ; supervises and reviews the work of <br /> clerical assistants . <br /> • <br /> REQUIRED KNOWLEDGE , SKILLS , AND ABILITIES <br /> Considerable knowledge of office operations , procedures and equipment ; <br /> good knowledge of English usage , spelling , grammer and punctuation ; <br /> ability to take dictation at 100 words a minute ; ability to type at a <br /> net rate of 50 words a minute ; ability to follow complex oral and <br /> written directions ; ability to deal effectively with a wide variety of <br /> personalities and situations requiring tact , friendliness , poise and <br /> firmness ; demonstrated ability to maintain complex clerical records <br /> and prepare reports from such records ; ability to work under pressure <br /> " EXHIBIT A " <br />
