REPORT
To the Honorable Mayor and City Council
From the City Manager

September 12, 2016

SUBJECT
Agreement Renewal for Uniform Rental and Laundering Services

RECOMMENDATION
By motion, approve and authorize the City Manager to execute Amendment No. 1 to the
uniform rental and laundering services agreement with G&K Services in an amount not
to exceed $50,000 for a total not to exceed contract price of $100,000
BACKGROUND
The Public Works Services (PWS) Department’s uniform policy states that all staff is
required to present a professional image to the public. The Department provides
standard uniforms and laundering services for staff in pursuit of this policy. All uniforms
display the City logo and aid in easy recognition of City staff by the public.

ANALYSIS
In 2015 the City awarded a one-year agreement to G&K Services for uniform rental and
laundering services following a public bidding process. Staff selected G&K Services as
the lowest responsive and responsible bidder because of their competitive pricing and
positive company references from the City of San Jose, City of Santa Cruz, and Contra
Costa County.

The City Manager approved the initial agreement for $50,000.00, with the option to
renew for two additional one-year extensions. During the past year, staff provided
positive feedback on the company’s high level of customer service and responsiveness
to correct issues. With the successful completion of the first year, the Department
recommends extending the agreement with G&K Services for the first extension, for a
total not to exceed contract of $100,000.00. Due to the new total contract amount, the
Department seeks City Council approval in extending the agreement.

ALTERNATIVES
Not approving this request will result in the Public Works Services Department releasing
another request for proposals for uniform rental and laundering services. In order to
minimize impacts to the Department’s operations, the Department would continue with
G&K Services until a new vendor is selected and awarded the contract.

6.1.J. - Page 1
