REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br /> <br />November 7, 2016 <br />SUBJECT <br />Design Services Agreement with Verde Design, Inc. for the Sandpiper Field and Marlin <br />Park Synthetic Turf Renovation Project <br /> <br />RECOMMENDATION <br />By motion, approve the standard form design services agreement with Verde Design, <br />Inc. for an amount not to exceed $80,585; and, authorize the City Manager to increase <br />the contract amount up to 10% if necessary <br /> <br />BACKGROUND <br />Sandpiper Field and Marlin Park are two heavily used community facilities. The turf <br />that currently exists on both fields was installed approximately eight years ago and has <br />reached the end of its functional life. The playing fields are used year round for soccer, <br />baseball, softball, and other field sports by both the local community and visiting <br />tournaments. <br />The subject of this report is the contract for the design phase of this field replacement <br />project. The project contract scope includes project design and preparation of <br />construction documents, bid support, project management, and construction <br />observation for the Project. <br />Given the high level of year round use of these fields, construction will need to be <br />coordinated to minimize disruption to the community. Furthermore, public outreach will <br />be conducted to the Redwood Shores community. Construction coordination and a <br />public outreach plan will be detailed after the design phase and prior to approval of the <br />construction contract. <br />ANALYSIS <br />After a Qualification Based Selection process, the Engineering and Transportation <br />Division, and the Parks, Recreation and Community Services Department, has selected <br />Verde Design, Inc. to prepare the design and construction plans for the Project. Verde <br />Design Inc. was the only qualified firm to submit a proposal. Verde Design, Inc. and <br />their team have significant experience with park and athletic facility planning and <br />design. The firm and their sub-consultant team also have extensive experience in the <br />public outreach and construction mitigation process which will be crucial for the success <br />of this project. The subject contract has a not to exceed amount of $80,585.00, and <br />6.1.C. - Page 1
