<br /> · JC" <br />REPORT <br /> To the Honorable Mayor and City Council <br /> From the City Manager <br />October 11, 2004 <br />Subject <br />Award of Contract - Network Infrastructure Upgrade Project <br />Recommendation <br />Approve the Contract Documents and award the contract for the Network Infrastructure <br />Upgrade Project to the lowest responsible bidder, NEC Unified Solutions of Livermore, <br />California, for the amount of $238,474.69. <br />Background <br />The City's computer network infrastructure needs replacement. The city network <br />infrastructure consists primarily of network switches which allow desktop computers to <br />connect with other computers to access applications such as financial software, Internet, <br />and email. <br /> ... <br />The need for replacement is primarily based upon two factors. First, the network <br />infrastructure is approximately seven to eight years old at some facilities. The old <br />equipment has already experienced several individual connection point (port) failures and <br />is currently experiencing problems with a bank of many connection points (blade). These <br />failures are impacting the reliability of the network and consequently the productivity of the <br />City's employees. Replacement parts are available from the manufacturer at a premium as <br />the maintenance contract with the manufacturer has been discontinued in lieu of self <br />support. <br />Second, the older, existing infrastructure will not support the new phone switches planned <br />for replacement after the completion of the Network Infrastructure Upgrade Project. The <br />existing phone switches are eighteen (18) years old and need to be replaced to implement <br />and support a more cost effective phone system within the city. Staff, under a separate <br />recommendation, will recommend that the existing telephone equipment be replaced with <br />newer equipment that utilizes less expensive Internet technology to carry voice <br />communications. <br />Four bids were opened in the City Clerk's office on July 14, 2004, and are summarized <br />below. <br /> Rank Bidder Amount <br /> 1. Verizon - Pleasanton, CA $261,957.69 <br />The low bid of $238,474.69 is considered a good and responsive bid. A complete copy of <br />the agreement is available for review in the City Clerk's office. <br /> .'--......- <br />
