<br />1,; <br /> <br />J <br /> <br />REPORT <br /> <br />To the Honorable Mayor and City Council <br />From the City Manager <br /> <br />August28,2000 <br /> <br />Subject <br />2000-2001 Trucking and Hauling Service <br /> <br />Recommendation <br />By Resolution, accept the bid and award the 2000-2001 Trucking and Hauling Service to <br />Greg's Trucking, Inc. of San Mateo, CA, in the amount of $43,550.00 and reject all other <br />bids. <br /> <br />Background <br />These services are used for hauling the City's Municipal Services Center (MSC) waste, <br />recycling, and construction materials purchases. Materials are purchased by the City and <br />transported into the MSC, and the same truck is loaded and waste and recycling are <br />hauled to the appropriate disposal site. <br /> <br />On June 28,2000, the bids were advertised in the newspaper. Additionally, on June 26, <br />2000, staff sent out bid proposals to eight trucking firms. On July 12, 2000, two bids were <br />received and opened in the City Clerk's Office: <br /> <br />BIDDER <br />Greg's Trucking, San Mateo, CA <br />S & S Trucking, Oakland, CA <br />Staff Estimate <br />Average bid <br /> <br />PRICE <br />$43,550.00 <br />$44,200.00 <br /> <br />$44,500.00 <br />$43,875.00 <br /> <br />Greg's Trucking's bid is 2.1 % below Engineer's Estimate. Greg's Trucking has provided <br />trucking services for Redwood City in the past and has been very responsive. The firm has <br />adequate trucks and will be able to meet the needs of the City for receiving material <br />purchases and transporting waste and recyclables to the appropriate disposal sites. <br /> <br />Staff has $35,000.00 budgeted for trucking services. The estimate and bid exceeds the <br />budgeted amounts because three different truck sizes were included in the bid. The sum <br />of the three bid items is greater than the anticipated trucking needs. The inclusion of a <br />significant number of hours is necessary to receive a fair bid for an item. The estimate <br />based on a small quantity of hours could skew the bid, because a high unit price on a small <br />quantity would not have a large impact on the overall bid total. <br /> <br />Alternatives <br />1) The City could perform the hauling. The City does not have an adequate trucking <br />fleet to complete this transport and perform the other necessary maintenance <br />activities.
