�. - <br /> REPORT <br /> To the Honorable Mayor and City Council <br /> From the City Manager <br /> December 18, 2000 <br /> Subject <br /> 2000-2001 Cost Shared Sidewalk Repair Project <br /> Recommendation <br /> By Motion, approve Change Order No. 1 for the 2000-2001 Cost Shared Sidewalk Repair <br /> Project to J.W. Riley & Son, Inc. of Emeryville, CA, for the amount of $62,275.00. <br /> Background <br /> On May 8, 2000 the City Council approved the contract documents and specifications and <br /> � authorized the City Clerk to call for bids for the subject contract. The proposed contract <br /> was duly advertised and four sealed bids were received and opened at the Office Qf the <br /> City Clerk on August 16, 2000. On August 28, 2000 the City Council awarded the contract <br /> to J. W. Riley & Son, Inc. in the amount of $187,725.00. J. W. Riley has been performing <br /> the cost shared repairs. The scope of the project is about 40% complete as specified in <br /> the bid documents. <br /> Staff has already provided cost shared estimates to, and received payments from, <br /> interested property owners to complete 100% of the contract amount. Work is being <br /> scheduled to complete the sites already paid for by the end of March 2001. Staff will have <br /> to stop offering cost shared estimates to interested property owners until either a new <br /> contract is awarded or the current contract is extended. <br /> Staff believes the most efficient and cost effective way to include additional cost shared <br /> sidewalk repair work will be to extend the contract. The contractor is agreeable to increase <br /> the quantities of work at the existing bid prices. A$62,275 change order amounts to a <br /> 33.17% increase. The final contract amount will be $250,000, of which approximately <br /> $110,000 will be paid by property owners. <br /> Alternatives to the change order include: <br /> • Do not solicit / accept new cost shared sidewalk repair work until a new contract <br /> can be advertised and bid <br /> • Reduce the amount of the change order <br /> • Increase the amount of change order greater than 33% <br /> Any alternative other than increasing the existing contract will cause a delay offering cost <br /> shared repair estimates to interested property owners. Public Works Services crews will <br /> continue to perform temporary repairs at damaged sites to make the sidewalk safe. <br /> However, staff will not have an option to offer property owners for permanent repairs. <br /> Fiscal Impact <br /> Page 1 of 2 <br /> _ _ _._._ _....� ,. ._ <br />
