7. <br />REPORT <br /> To the Honorable Mayor and City Council <br /> From the City Manager <br /> <br />July 1, 2002 <br /> <br />Subject <br />Purchase of a Xerox Document Center Copier 460 for the Fair Oaks Community Center <br /> <br />Recommendation <br />It is recommended that the City Council, by motion, approve the purchase of one Xerox <br />Document Center 460 copier for the Fair Oaks Community Center. <br /> <br />Background <br />Fair Oaks Community Center purchased its current Minolta CS5000 copier for in <br />04/16/1999. It is utilized by City staff and the 30 public and private non-profit agencies who <br />provide services at the community center. The copier has reached it's capacity of 800,000 <br />copies. Our current maintenance agreement on this copier is .013 per copy. <br /> <br />The Fair Oaks Community Center wishes to utilize the Cooperative Purchase Provisions <br />from the County of Los Angeles (BPA#071386404) with this purchase as recommended by <br />PRCS Department administrative staff. The same model recently purchased bythe PRCS <br />Department for the Community Activities Building meets all the needs we have identified <br />for Fair Oaks. In addition, Xerox will accept our current Minolta CS5000 copier as a trade- <br />in, thus reducing the purchase price. Yearly maintenance will be approximately $2,500 <br />per year. <br /> <br />The public and private non-profit agencies who utilize the Fair Oaks Community Center <br />pay a per copy cost, off-setting the costs of purchasing a new machine. <br /> <br />Alternative <br />City Council could not approve the purchase of the copier. <br /> <br />Fiscal Impact <br />The cost of the Xerox Document Center 460 copier is $15,015, which includes the cost of <br />the trade-in, tax, and delivery.
