January 28, 2002 Subject Approval of Task Order No. I for Professional Consulting Services (Smith-Emery Company) for the El Camino Real Medians Landscaping Project - Engineering File No. 1204-01 Recommendation Approve Task Order No.1 with Smith-Emery Company for providing professional consulting services for the El Camino Medians Landscaping Project, in an amount not to exceed $13,325. Background The El Camino Real Medians Landscaping Project consists of adding landscaping, irrigation, and miscellaneous planting improvements to the median islands along State Highway 82 (El Camino Real). The limits of the work will include the southernmost City limit line at Atherton, to the northernmost City limit line at San Carlos. The project is underway and being constructed during the hours of 10:00 P.M. to 6:00 A.M., Sunday through Thursday. Smith-Emery is providing construction inspection services for all night work. The Contractor's approved schedule has been extended through February 26, 2002, and the night inspection must be maintained through the completion of the project. This schedule reflects the completion of the entire project, as previously approved by Council, and includes Add Altemate #1, which is to construct additional medians to the San Carlos border. The original contract for Smith-Emery Company was for an amount of $26,650. This amount was based on an estimated two and 1/2 month construction. It appears that the contract will extend to February 26, 2002, because of the Add Alternate, and weather delays, making it an almost five-month project. Additional inspection time will be needed for the extended Schedule. Alternatives Do not have a full-time inspector on this project during the night hours, which will result in City staff having to work additional night shifts to supervise this project: Fiscal Impact Funds in the amount of $76,000 are available in the 1998-99 and 1999-2000 Capital Improvement Program budgets for the El Camino Real Medians Landscaping project, to (~upport /' _,~ /? ~?/ the additional effort.
