From the Cit Mana er <br /> <br />October 24, 2005 <br /> <br />Subject <br />Purchase of passenger and cargo vans <br /> <br />Recommendation <br />By Motion approve the purchase of five (5) vans in the amount of $96,711.59 from Downtown <br />Ford of Sacramento, California under the Cooperative Purchasing Agreement of the State of <br />California, Office of Procurement, contract #1-05-23-20. <br /> <br />Background <br />Redwood City currently has three passenger vans and two cargo vans which are scheduled for <br />replacement. The primary use of two of the passenger vans are for teen and youth activities, <br />while the third is used by our Sheriffs' Work Furlough Program. One of the cargo vans is used <br />for delivering internal mail to all City facilities and the other is assigned to the library for <br />transporting books and literature between libraries. <br /> <br />The Public Works Services Department in conjunction with internal customer departments <br />reviewed the van specifications from the State of California and agree they meet the needs of <br />their department programs. <br /> <br />Cooperative purchasing provisions under Redwood City Code Section 2.80 make it possible for <br />the City to benefit from larger volume purchases. Fleets using these provisions realize <br />significant savings from prevailing fleet prices. Staff does not know from one year to another <br />which vehicles will be available on the State Contract. Therefore, staff budgets at the suggested <br />retail value for replacement vehicles as shown below. <br /> <br />Alternative <br />All five replacement vans have met and or exceeded their useful life cycle. The alternative of not <br />replacing these vans could have a direct impact on services to the community if they were to <br />experience a major breakdown due to their age and mileage. <br /> <br />Fiscal Impact <br />Funds for the purchase of these five replacement vans was approved and appropriated by the <br />City Council in the Fiscal Year 2005/06 Equipment Replacement Fund Budget in the amount of <br />$175,000.00. <br /> <br />~~ B~u <br />Larry arwacz (/ <br />Public Works Superintendent <br /> <br /> <br />QI,(gl <br /> <br />Ed Everett <br />City Manager <br /> <br />Fçl'L <br /> <br />Attachment: None <br />
