I REPORT <br />- Fr m the C,ty Manager <br /> <br /> August 5, 2002 <br /> <br /> Subject <br /> Traffic Sign Supplies and Materials Purchase <br /> <br /> Recommendation <br /> By Motion, accept the bid and approve the purchase of traffic sign supplies and materials <br /> from Western Highway Products of Stanton, CA, in the amount of $12,193.00, and reject <br /> all other bids. <br /> <br /> Background <br /> The Public Works Services Department purchases supplies and materials to maintain the <br /> sign and traffic delineation systems. Staff placed the routinely used items for the year in a <br /> bid package. The bids were sent to the four suppliers the City has used in the past. Three <br /> bids were received. <br /> <br /> Bids were sent out March 7, 2002 and opened at the Public Works Services office on June <br /> 7, 2002. The bid from Western Highway Products is 18.7% below the staff estimate. <br /> <br />_ Bidder Amount <br /> Western Highway Products, Stanton, CA $12,193.00 <br /> United Rentals, San Jose, CA $19,048.00 <br /> Interstate Products, Inc., Burlingame, CA $41,075.00 <br /> Staff Estimate $15,000.00 <br /> <br /> Staff believes the tow bid received is valid and is in the City's best interest to accept. <br /> <br /> Alternatives <br /> The alternative would be to perform individual .bids each time staff needs to purchase <br /> supplies. There is less opportunity for volume discounts and additional staff time will be <br /> required for individual bids for each purchase. <br /> <br /> Fiscal Impact <br /> Funds have been requested in the appropriation for the 2002-2003 paint and sign <br /> maintenance subprogram budget in the amount of $20,174.00 for traffic sign supplies and <br /> materials. This purchase covers approximately 70% of the supplies and materials used <br /> during a typical budget year.
