...:S: /£-/

REPORT

To the Honorable Mayor and City. Council
From the City Manager

December 5, 2005

Subject
The Holiday Toy and Book Drive and the proposed City of Redwood City's sponsorship of this
annual event.

Recommendation
Authorize the City of Redwood City as the sponsor of the annual Holiday Toy and Book Drive and
approve the Agreement between the City of Redwood City and The Board of Trustees of the
Leland Stanford Junior University for utilizing their BroadVision building in Redwood City during the
event.

Background
Since1996, the Redwood City P.A.L., Police and Fire Departments have combined resources to
implement the annual Holiday Toy and Book Drive to benefit the children of the Redwood City
community. The P.A.L. Officer and staff have coordinated the event under the supervision of a
police sergeant for distribution of the toy barrels throughout the community, as well as the sorting,
wrapping, and packaging of the toys at facilities in Redwood City. Agreements have been created
each year for the use of various buildings by police officers, fire fighters, City employees, and
citizen volunteers that participate in the event. The agreements have contained provisions for
liability of insurance for all the participants. The facility known as BroadVision located at 405
Broadway Street in Redwood City, CA will be used from November 3,2005 to January 20,2006.

Alternative
The non-profit P.A.L. would sponsor the Holiday Toy and Book Drive and provide the liability
insurance at an additional cost.

Fiscal Impact
No fiscal impact is anticipated, although agreeing to City sponsorship allows the use of liability
insurance through the City of Redwood City.

ß~l{)OIW
Brian Weiss
Patrol Sergeant

Attachment
License Agreement between the City of Redwood City and The Board of Trustees of the Leland
Stanford Junior University.

1
