-,
REPOR
T
To the Honorable Mayor and City Council
From the ity Manager
December 19, 2005
Subject
Purchase of two (2) Backhoe Loaders
Recommendation
By Motion approve the purchase of two (2) Backhoe Loaders in the amount of
$169,017.22 from Pape Machinery of Newark, CA under the State of California Office of
Procurement Multiple Award Schedule (CMAS) Contract # 4-05-38-0018A.
Background
The Public Works Services Department has two 1986 backhoes which are scheduled
for replacement. These backhoes are used on a daily basis for routine water and sewer
construction projects, scheduled repairs and emergency response. Staff evaluated
different makes and models of backhoes and agree that the John Deere 310 SG
Backhoe Loader from Pape Machinery meets the needs of the Public Works Services
Department. The John Deere Backhoe offers improved safety features, lower
maintenance requirements and improved technology over our existing backhoes.
Alternative
Do not approve the purchase of these backhoes. The operational requirements of the
department would be adversely impacted, as the existing backhoes are extremely worn
out from heavy daily use and have met or exceeded the City's replacement criteria.
Continuing to invest in the repair of these backhoes does not meet economic guidelines
due to their current age and condition.
Fiscal Impact
Funds for the purchase of these replacement backhoes were approved by City Council
in the FY 2005/06 Equipment Replacement Fund Budget in the amount of $160,000.
The remaining balance of $9,017.22 wil initially be financed from retained earnings in
the Equipment Replacement Fund. This amount will be subsequently recovered from
the operating budget of the user department through vehicle replacement charges in
future years.
