EXHIBIT "A" <br /> SCOPE OF SERVICES <br /> Scope of the Project <br /> Redwood City has documents that are on microfiche, microfilm and aperture cards to be <br /> scanned and indexed, and provided to the City as addressed below. The City has an <br /> estimated 563 microfilm reels, 630,000 jacketed microfiche, and 25,000 aperture cards. <br /> Kick Off Meeting(s) <br /> Prior to the first pick up with each department, Raycom will set up a meeting with any <br /> key City personnel involved to coordinate the project. <br /> Pick Up <br /> The City and Raycom will determine a mutually agreed upon day where all the items will <br /> be picked up by Raycom personnel. Consultant employee(s) will go to the City- <br /> designated locations and arrange and supervise the pick-up of the items. The City will <br /> designate employee(s) that will transfer the items to Raycom employee(s). <br /> Handling of Police Department Records <br /> Raycom shall keep all Police Department Records strictly confidential at all times. <br /> Raycom shall comply with the following security requirements for all employees who will <br /> be handling Police Department records and shall provide written confirmation of <br /> compliance to the City prior to commencing work under this Agreement: <br /> O All employees shall have the legal right to work in the United States. <br /> O All workstations and scanning stations used for this project shall not have access <br /> to Internet or email at any time. <br /> O All employees shall be CJ IS-trained and certified . <br /> O The use of subcontractors shall be prohibited. <br /> O All employees are restricted from bringing or having access to recording or <br /> camera devices in areas where work related to Police Department records will be <br /> performed . <br /> O Only employees assigned to handle Police Department records shall have <br /> authorized access to documents or data related to such records. <br /> O All work performed with respect to Police Department records shall be subject to <br /> 24/7 camera surveillance monitoring. Said surveillance shall only be accessible <br /> to Consultant management who are assigned to oversee the handling of such <br /> records. Consultant shall make this surveillance available to the City within 24 <br /> hours of a request. Surveillance footage may be subject to further disclosure in <br /> response to a request for records under the California Public Records Act. <br /> Inventory and Packing of Items <br /> A log of what items were received by Raycom will be created and be provided to the <br /> City.
