IREPORT ........ ... .... <br /> ...................... :To the Honorabl aY: r,and City Council , <br /> Ftorn the City Manager J <br /> <br />December 2, 2002 <br /> <br />Subject <br />Purchase of Twenty -Eight Vehicles <br /> <br />Recommendation <br />By motion approve the purchase of twenty-eight vehicles from the lowest responsible <br />bidders for a total bid award of $738,448.86: <br /> <br />1) Items # 5 and #7 on the attached bid summary in the amount $137,740.50 from <br /> Melrose Ford of Oakland, CA. <br /> <br />2) Item #3 on the attached bid summary in the amount of $26,900.13 from South City <br /> Ford of So. San Francisco, CA. <br /> <br />3) Items # 1,2,4,6 and 10 on the attached bid su. mmary in the amount of $468,107.0.0 <br /> from East Bay Truck Center of Oakland, CA. <br /> <br />4) Items #8 and #9 on the attached bid summary in the amount of $105,701.23 from <br /> Hoblit Motors of Woodland, CA. <br /> <br /> Background <br /> The Public Works Services Department, in conjunction with internal customer departments <br /> developed vehicle specifications for the scheduled replacement of twenty- five existing <br /> vehicles, one unscheduled vehicle replacement due to a major traffic accident and two <br /> additional vehicles to the City's fleet. (See Vehicle Replacement List- Attachment B) One <br /> of the additional vehicles is for the Parks, Recreation and Community Services Department <br /> and the other is for a sidewalk inspector in the Right of Way Division of Public Works <br /> Services. <br /> <br /> The City Clerk advertised the bid invitation with copies of the bid being mailed to fourteen <br /> vendors including three local dealerships. The four bids received were opened by the City <br /> Clerk on Wednesday, November 6, 2002 and are summarized on the attached Bid <br /> Summary Sheet (Attachment A) <br /> <br /> Alternative <br /> Currently the twenty-five replacement vehicles have met and or exceeded their useful life <br /> cycle. It would not be economically sound to invest in the continued use and repair of these <br /> vehicles if they were to experience a major breakdown due to their age and condition. The <br /> alternative of not replacing these vehicles or purchasing the additional vehicle would impact <br /> the operational requirements of the customer departments since these vehicles are used <br /> daily for fieldwork. <br /> <br /> <br />
