REPORT <br />To the Honorable Mayor and City Council~'~ <br />From the City Manager <br />June 4, 2007 <br />SuB.IECT <br />Accept Improvements 2005/2006Cost Shared Sidewalk Repair Project, JJR <br />Construction, Inc. <br />RECOMMENDATION <br />Approve by motion to accept the completed improvemen#s far the 2005-2006 Cost <br />Shared Sidewalk Repair Project in the ful! contract amount of $466,607.00 and release <br />the contract retention amount of $46,660.70 to JJR Construction, inc. <br />BACKGROUND <br />The contract was duly advertised and sent to seven prospective bidders that have <br />worked on similar projects for the City. One sealed bid was received and opened at the <br />Office of the City Clerk on April 19, 2006 in the amount of $463,700.00. On June 5, <br />2006, the City Council approved the contract documents and specifications and <br />awarded the contract to the low bidder JJR Construction, Inc. of San Mateo. The <br />contract documents include the option for two subsequent extensions using Consumer <br />Price Index to adjust bid item amounts. <br />All of the sidewalk repair sites except wheel chair ramps received work based on cost <br />shared agreements wi#h property owners. Some additional requested work was <br />performed at 100% property owner cost. Some necessary construction and ail related <br />paving was performed at 100% City cost. <br />JJR performed the full scope of the contract which induded the new specification of <br />installing rubber sidewalks around trees with minimal root pruning; and the concrete <br />reconstruction of sidewalks, driveways, curb and gutter, and wheel chair ramps. The <br />work performed exceeded the original contract amount by $2,907, or 0.63%. Change <br />Order Number 1 was approved by staff to cover this amount. <br />During this contract, the following repairs were completed: <br />• 66 cost shared sidewalk repair sites 2 trees removed <br />• 9 wheel chair ramps • 21 new tree grates <br />• 44 rubber sidewalk sites <br />ALTERNATIVES <br />City Council could decide to not accept this project. The work has been completed to <br />specifications and the contractor has performed well in the completion of the project. <br />The contractor is due their retention amount. <br />FISCAL IMAACT <br />6.1 D <br />Page 1 <br />Adequate funds are available and have been encumbered in the Capital Improvement <br />Program for Tree Preservation and Sidewalk Repair. <br />
