REPORT

6.18
Page 1

To the Honorable Mayor and City Council
From the Ci Mana er

August 13, 2007

SUBJECT
Agreement to provide information technology services to the City of East Palo Alto.

RECOMMENDATION
Approve by motion the ten-month agreement to provide information technology services
to the City of East Palo Alto and authorize the City Manager to sign the agreement
under which Redwood City will provide information technology services to East Palo
Alto between September 1,2007 and June 30,2008.

BACKGROUND
In May, 2007, the City of East Palo Alto was notified by the provider of their Information
Technology services that they would no longer be providing these services. Upon
becoming aware of this, Redwood City's Information Technology Division approached
the City of East Palo Alto and negotiated a contract under which Redwood City's
Information Technology Division would provide services to East Palo Alto.

On July 17, 2007, the City of East Palo Alto's City Council approved the contract and
authorized their City Manager to sign an Information Technology Services agreement
with Redwood City for the period of September 1, 2007 through June 30, 2008 at
Redwood City's current rate of $123.69 per hour for approximately 171 hours per
month.

AL TERNA TlVES
The Council could elect not to approve the one-year agreement. This is not a
recommended alternative as East Palo Arto's contract could turn into a longer term
partnership. The revenue received will exceed the cost of the additional FTE required to
provide these services.

FISCAL IMPACT
One additional FTE would be required at a cost of $125,337 for the remainder of fiscal
year 2007-08. The expected revenue from this contractping the same time period is
$211,500. p;{, ~

Brian Panty
Financial SeNices Director

ATTACHMENTS
1. Two East Palo Alto signed original Agreements for Information Technology support
between the City of Redwood City and the City of East Palo Alto.
