6.1. - Page 39 of 82 <br />Attachment 2 <br />Section Vlll. Billing Procedures and Tracking Information <br />a. Because a large percentage of work performed by Facilities Services is <br />associated with building systems and structures, baseline services are tracked <br />by building rather than by individual department. Facilities Services staff will <br />record labor and material costs for each activity performed in a building, and <br />these costs are then reflected in the report sent monthly to the Contractor and <br />the Animal Control Manager, San Mateo County Health. <br />b. The cost for additional services is tracked by work authorization. Prior to <br />receiving a service, the Contractor will set aside a dollar amount equal to the <br />estimated cost for that service. As services are rendered and costs are <br />incurred, the invoices will be sent to County Health System Animal Control <br />Manager and then to the Contractor. The cost will be taken out of animal <br />control Contract Funds by the Contractor, who will pay the invoice within 30 <br />calendar days or the County will deduct the overdue amount from Contractor's <br />next payment. <br />c. If there is a dispute raised by Contractor, within three business days of receipt <br />of the invoice, regarding the accuracy of charges in an invoice, the parties shall <br />use best efforts to resolve the dispute expeditiously. If while using best efforts, <br />the parties have not resolved the dispute within 30 calendar days, Contractor <br />shall not be in breach if the parties agree that they are working in good faith to <br />resolve the dispute. <br />In preparation for this, Contractor is to receive copies of all warranties, as-builts, <br />operating and maintenance materials, and is to participate in all trainings provided <br />by the Shelter's general contractor to DPW for the systems that Contractor will be <br />maintaining. The intent is to have Contractor be informed as much as possible <br />to more efficiently assist DPW in its role as well as manage its own <br />responsibilities. <br />REV: 06-02-2020 MI <br />364 <br />ATTY/AG R.A <br />
