6.E. - Page 1 of 35 <br />/<�ik <br />Redwood <br />CitylCallifornia <br />Faunded 1867 <br />A,&/ <br />DATE: July 13, 2020 <br />SUBJECT <br />STAFF REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br />Agreement for Professional Services with ImageTrend, Inc. for the purchase and implementation of a <br />records management system <br />RECOMMENDATION <br />By motion, approve the Master Software and Services Agreement with ImageTrend, Inc. and authorize <br />the City Manager to execute the agreement for an amount not to exceed $137,772 for the purchase and <br />implementation of a records management system. <br />STRATEGIC INITIATIVE <br />Public Safety <br />BACKGROUND <br />California state law requires that all fire departments and districts in the state conduct annual safety <br />inspections of all public and private schools, apartments, hotels and motels within their jurisdiction. These <br />are considered "mandated annual inspections". In addition, the Redwood City Fire Department (RCFD) <br />also conducts non -mandated inspections on occupancies such as businesses, mercantile, commercial, <br />assembly, and industrial occupancies on a more regular schedule. The 2018-19 San Mateo County Grand <br />Jury identified deficiencies in annual safety inspection programs in many agencies in the County, including <br />Redwood City, in a report titled Fire Safety Inspection Programs on the Road to Recovery. <br />The RCFD has used a few different inspection tracking mechanisms throughout the years. Prior to 2012 <br />the inspection program consisted of an Excel speadsheet used for tracking. In 2012, RCFD installed a <br />records management software (CodePAL) to support the operations of the Fire Prevention Bureau.
