City �'ouncil <br /> From #he Gi�fi M�na er <br /> February 25, 20Q8 <br /> Su�ECr <br /> Purchase of Furniture for the Redwood Shores Community Library Project <br /> RECOMMENDATION <br /> 1. Approve, by rnotion, the furniture pian and Request for Proposal for Redwood <br /> Shores Community Library furnishings. <br /> 2. Authorize, by resolution, the sole source purchase of selected furnishings. <br /> BACKGROUND <br /> Council awarded the construction contract for the Redwood Shores Community Library <br /> on December 11, 2006_ The projec# is currently 75% completed and full completion is <br /> anticipated by July 1, 2008. As part of the design service, the architectural firm of <br /> Anderson Brule providec! a fumiture plan for the inter�or environment as wat( as the <br /> exterior architectural design for this project. The state's Office of Library Construction <br /> has approvect the €urniture plan and fumishings, and funds have been programmed for <br /> procurement. The schedule for interior furnishings and the fumiture plan is complete <br /> and staff is prepared to proceed with the purchase and placement af furnishings far the <br /> new library. <br /> Materials and fabrics far furnishings were specified by the architect to best coordinate <br /> with the nauticaliy themed interior enviranment. Some of these items are available at <br /> volume discounts through purchasing agencies that have already "pre-qualified" items <br /> for purchase by public agencies. For other items that are not pre-approved and are so <br /> exclusive in design that they are only availab(e from a singfe source, staff requests <br /> Council suspend the competitive bidding requirements of Article Vll, Purchasing, of <br /> Chapter 2 of the Municipal Code. Council is authorized to waive the competitive bidding <br /> requirement per Section 2.76, in "instances where the only materials, equipment or <br /> supplies that are suitable are of a unique nature and available frorn a single source <br /> only." <br /> ALTEl2NATiVES <br /> Councii may choose no# to approve the current furniture plan and request a redesign . <br /> without the use of exclusive items. <br /> FISCAL (MPACT <br /> Anderson Bru{e estimates $430,�0� as the cost of furnishings and services related to <br /> purchasing and coorciinating the instal(a#ion of furnishings for the Redwood Shores <br /> Community Library. Funding for procuremenf and installation of furnishings for the <br /> Redwood Shores Commur�ity Library is available fram the projecf's original{y budgeted <br /> fur�ding sources; a state grant totaling $10,103,707 and GiD 1-64 funds totaling <br /> $5,304,QQ0. <br />
