6.H. - Page 1 of 29 /<�ik Redwood CitylCallifornia Faunded 1867 A,&/ DATE: February 22, 2021 SUBJECT STAFF REPORT To the Honorable Mayor and City Council From the City Manager Agreement for a permit system upgrade and new software maintenance with CentralSquare Technologies, LLC RECOMMENDATION By motion, approve and authorize the City Manager to execute the agreement for a permit system upgrade and new software maintenance with CentralSquare Technologies, LLC (CentralSquare) for an initial three-year term in the amount of $290,000 and an optional one-year renewal term in the amount of $80,000, for a total period of four years and not -to -exceed amount of $370,000. BACKGROUND On January 28, 2002, City Council approved an agreement with CRW Systems, Inc. (CRW) for their "TRAKiT" software system. Since 2002, the Community Development & Transportation Department (CDT) has been utilizing "TRAKiT" permitting software to issue and track planning, building, and engineering permits through an initial agreement with CRW. In 2015, SunGard Public Sector acquired CRW and assumed the rights and responsibilities for the TRAKiT software. Subsequently, CentralSquare acquired the TRAKiT software application in 2018. The City entered into the existing TRAKiT software maintenance agreement in 2016 for a five-year term, which is expiring on February 28, 2021. Additionally, the current version of TRAKiT operated by the City has become obsolete and will no longer be supported effective March 1, 2021.
