" .,' ."., ..' <br />'. . . <br /> <br />6.2A <br />Page 1 <br /> <br /> <br />February 23, 2009 <br /> <br />SUBJECT <br />Final Acceptance - City Council Chamber Audio Visual Retrofit Project <br /> <br />ReCOMMENDATION <br />Accept, by motion, the City Council Chamber Audio Visual Retrofit Project and authorize <br />the release of bonds and retention according to City procedures. <br /> <br />BACKGROUND <br />The work of this project upgraded the electronic equipment necessary for meetings and <br />presentations in the Council Chambers. The construction contract was awarded to the <br />lowest responsible bidder, Ceitronics. Inc. of San Jose. Design work was provided by <br />Shen Milsom & Wilke of San Francisco. The design intent was to update/replace <br />necessary equipment and salvage as much existing equipment as possible. The <br />system was effectively converted from analog to digital as most of the audio equipment <br />was replaced. Three flat panel displays were installed in the lobby of City Hall to serve <br />overflow audiences. An electronic voting system was implemented. Electrical wiring in <br />Chambers was replaced as needed. The improvements provide additional features, <br />better broadcast quality, and increased reliability of the overall system. <br /> <br />The contract for construction for this project was awarded for a low base bid of <br />$307,671.79. One (1) change order totaling $30,061.68 (100/0 of the original contract <br />amount) was issued for additional equipment and programming to address specific <br />needs of the City Clerk's Office. The final contract cost is $337,671.79. The project has <br />been successfully completed in accordance with the plans and specifications. <br /> <br />ALTERNATIVES <br />Council may choose not to accept the project and direct staff to further modify elements <br />of this project. <br /> <br />FISCAL IMPACT <br />The Council approved a 15-year franchise agreement with Comcast of California on <br />January 9, 2006. This franchise agreement includes a "Publict Educational and <br />Governmental Access Capital Granf' for capital improvements related to the broadcasts. <br />on the Redwood City government cable channel and associated systems, and to help <br />fund capital improvements for Peninsula TV.
