REPORT

6.10
Page 1

To the Honorable Mayor and City Council
from the Ci. ,Mana. er

March 23, 2009

SUBJECT
. Amendment No. 1 to Agreement for Maintenance of Storm Utility System Pumps and
Motors with Pump Repair Service Company, Daly City, California

RECOMMENDATION
Approve by motion Amendment No.1 to the Maintenance of Storm Utility System
Pumps and Motors Agreement with Pump Repair Service Company of Daly City,
California in the amount by $29,709.00 for a total contract value not to exceed
$172,560.00.

BACKGROUND
On July 7, 2008, City Council authorized the agreement with Pump Repair Service
Company for the not to exceed amount of $142,850.00 for preventative maintenance
services and repairs of Storm Utility System pumps and motors. As explained in the
July 2008 staff report, the vendor provides the Public Works Services Department with a
recommendation based on a pump failure analysis. The definitive maintenance service
cost for pumps and motors is determined upon dismantling and inspecting the
equipment.

)

This fiscal year the cost to repair pumps and motors will exceed the contract amount
requiring an amendment to the agreement. There is a shortfall of $29,709.00 to cover
the additional costs for pump and motor repairs at the Fifth Avenue Pump Station and
the Douglas Pump Station. Specifically, during last season's storms, staff determined a
need to increase the size of the pump motors at the 5th Avenue Pump Station from 25
horsepower to 30 horsepower to handle the increased storm flow to the pump stations.
Additionally, replacement of the Morse Fairbanks motor for the pump 2 at the Douglas
Pump Station is necessary. The motor is no longer made and a replacement motor
from a different manufacturer must be installed. These combined services increase the
contract valu.e by $29,709.00 over the contract amount, increasing the not to exceed
contract amount to $172, 560.00.

AL TERNA TIVES
There is no practical alternative.

FISCAL IMPACT
The amount of $205,000.00 was budgeted in Fiscal Year 2008-09 for maintenance and
repair of storm system utility, including pump stations and collection system
maintenance. The additional funds of $29,709.00, necessary to cover the cost of the
work performed, are available in the budget.

J/JA '/
I !:!:.t1/tUi _ '
Marilyn H ng _,
Public Works Superintendent

~ B~.O'=-}
Larry rwacz
Public Works Services Director
