REV: 01-07-2022 VR <br />EXHIBIT “A” <br />SCOPE OF SERVICES AND FEE <br />Scope of Services: <br />Recording Services <br />City Council / Planning Commission Meeting coverage: <br />City of Redwood City will be billed on a monthly basis for a total not to exceed $10,000. <br />Pen Media will provide the following services: <br />Record all scheduled City Council and Planning Commission meetings on the <br />schedule provided. <br />Provide one technician at all meetings, unless two are requested. <br />Arrive one hour before scheduled start time of each meeting for set-up. <br />Record meetings according to City written standards given to Pen Media. <br />Report all problems to the City’s IT department. <br />Track hours and provide monthly billing statement reports on status of hours <br />used and balance remaining. <br />City Council Meetings: 1-3 times per month <br />Planning Commission Meetings: twice a month <br />Please note the following terms and conditions: <br />A minimum of three hours will be billed for each meeting. <br />If a meeting is canceled with less than 5 days’ notice, three hours will be <br />charged. <br />Invoices will be submitted monthly. <br />A minimum of 5-day notice is needed to guarantee coverage. <br />Fee: <br />City of Redwood City will be billed at an hourly rate of $65 for one operator and $130 for <br />two operators.
