REV: 02-03-23 RL EXHIBIT “A” SCOPE OF SERVICES AND FEE Scope of Services: Recording Services City Council / Planning Commission Meeting coverage: Pen Media will provide the following services: Record all scheduled City Council and Planning Commission meetings on the schedule provided. Provide one technician at all meetings, unless two are requested. Arrive one hour before scheduled start time of each meeting for set-up. Record meetings according to City written standards given to Pen Media. Report all problems to the City’s IT department. Track hours and provide monthly billing statement reports on status of hours used and balance remaining. City Council Meetings: 1-3 times per month Planning Commission Meetings: twice a month Please note the following terms and conditions: Pen Media will use the cameras / controller provided by Redwood City. Pen Media Is not supplying any technical equipment. Pen Media is not responsible for the equipment at the City. If the equipment fails it is not the responsibility of Pen Media. Pen Media will do their best to recover any equipment malfunction but is not responsible for the maintenance and upkeep and cannot be held accountable if the equipment fails. Meeting time is rounded up to the next half hour for billing. A minimum of three hours will be billed for each meeting. If a meeting is canceled with less than 3 days’ notice, three hours will be charged. Invoices will be submitted monthly. A minimum of 5-day notice is needed to guarantee coverage. Fee: City of Redwood City will be billed for actual monthly costs at the rates specified in the fee schedule below. Consultant will be paid pursuant to monthly invoices consistent with Section 6, Compensation.
