REV: 04-07-2023 JB <br />EXHIBIT “A” <br />SCOPE OF SERVICES AND FEE <br />SCOPE OF SERVICES <br />MANAGEMENT SERVICES <br />Upon request by Task Order from the City, the Consultant shall provide as-needed project <br />and construction management for a variety of public facilities. The Consultant shall assign <br />qualified engineering staff to serve as the Project Manager/Resident Engineer (“PM/RE”) <br />during the design and/or construction of capital improvement projects and be responsible <br />for ensuring the completion of work by overseeing consultant and/or contractor’s <br />activities. The PM/RE shall be responsible for ensuring that all work is built to the <br />standards defined by the contract documents. Services could include, but are not limited <br />to the following activities: <br />A. Construction Management <br />a)Provide a high-level of communication with the City’s project manager and <br />updated work schedules on a biweekly basis; <br />b)Monitor and assess project budgets and cost controls; <br />c)Coordinate with design staff as required; <br />d)Conduct regular meetings with contractor to discuss job-site issues, <br />coordination, project budget, and project schedule; <br />e)Notify City’s project manager of any potential problems and conditions which <br />could result in delays and/or change order requests; <br />f)Administer project including processing and reviewing RFIs, submittals, <br />potential change orders, progress payments and potential claims. Review and <br />make recommendations to City’s project manager regarding change order <br />requests, negotiate contract change orders, and related correspondence; <br />g)Answer calls and emails from the public and respond within 24 hours; respond <br />in writing within 3 working days to letters received from the public; <br />h)Ensure appropriate communication between contractor and the public; <br />i)Maintain project files and records and deliver them to City’s project manager <br />upon completion of the project; <br />j)Review contractor progress payment requests; <br />k)Perform a final review of the work with the City and compile a punch list for the <br />contractor; <br />l)Review final quantities and payments and obtain redline as-built plans from the <br />contractor; <br />m)Follow all applicable requirements for projects with state and federal funding, <br />as outlined in the most recent version of the Caltrans Local Assistance <br />Procedures Manual <br />ATTY/AGR.2023.067/Bellecci (On-call Services) (Page 11 of 13)
