22 <br /> <br />Boards, Commissions, and Committees Handbook| SeptemberMay 2024 2021 <br />• Take the Oath of Office. <br />• If required, Ccomplete and sign the Form 700 and <br />return to the City Clerk’s Office. <br />• Understand the role and responsibilitfes of the <br />appointed BCC. Be informed of its functfons and <br />relatfonships with other BCCs. <br />• Take the Ethics training (AB 1234). <br />• Attend the orientatfon scheduled by your Staff <br />Liaison and/or the City Clerk. <br />• Become familiar with the governing rules and <br />regulatfons. <br />• <br />• Attend all regular and special meetfngs. In the event that you cannot attend a meetfng, <br />provide tfmely notfficatfon to the Chair and the Staff Liaison. See the Board, Commission, <br />and Committee Attendance Policy for more informatfon about attendance requirements <br />(Exhibit A). <br />• Arrive at meetfngs on tfme. <br />• Be prepared for every meetfng. <br />• Review all staff reports, maps, studies, proposals, correspondence, minutes, etc. prior to <br />the meetfng. <br />• Have all reference materials on hand for the meetfng. <br />• Members should familiarize themselves with conflict of interest regulatfons and discuss <br />potentfal conflicts of interest with the City Attorney’s Office prior to meetfngs where <br />matters will be discussed for which the member may have a conflict of interest. If a <br />member has a conflict of interest, that members must recuse themselves him/herself <br />from partfcipatfng in the decision-making process, which includes all discussions and <br />actfons on the matter. <br />• Consult the City Attorney if you have any questfons of a legal nature related to your service <br />as a BCC member. <br />• Avoid leaving before the meetfng adjourns without prior notfce. <br />• Establish a good working relatfonship with fellow members, City Council, and Staff Liaison. <br />• Exhibit mutual resect to fellow members to ensure a positfve working environment. <br />• Become familiar with parliamentary procedures to ensure that meetfngs proceed in a <br />tfmely fashion. <br />• Consider the overall public good when making a decision. <br />• Always talk to the Chair and Staff Liaison about placing items on future agendas. <br />9.B. - Page 30 of 53 <br />186
