REV: 08-22-24 VR <br />Phase One: Community Engagement and <br />Plan Framework <br />Task 1 – General Project Management <br />1a – Regular Coordination Meetings with City Staff <br />Consultant (referred to as WRT in this Scope of Work) will coordinate with the City’s <br />project manager to schedule monthly virtual Team Check-In meetings with city staff and <br />key personnel for on-going coordination and to provide regular project status updates on <br />milestones and project needs. The bi-monthly check-in meetings will be scheduled to be <br />one hour long and will be attended by WRT’s project manager along with other WRT staff <br />as needed. As described in the project schedule, the bi-monthly meetings include major <br />milestone meetings to review draft deliverables and discuss guidance received from the <br />public and decision-makers. Attendance by subconsultants is assumed for meetings <br />relevant to their subject matter. <br />For each meeting, WRT will provide meeting agendas and minutes and will come <br />prepared to discuss potential issues/challenges, such as modifications to a master <br />schedule and budget-related concerns. Website updates will also be discussed. <br />On a monthly schedule alternating with the Team Check-In meetings, WRT and City <br />project managers will hold a regular 15-30 minute check-in as necessary. <br />DELIVERABLES: <br />attendance by WRT Project Manager and other team members; <br />meeting agendas; <br />action minutes. <br />1b – Administration & Schedule Maintenance <br />WRT will submit monthly progress reports with each invoice, which will summarize work <br />performed on each Task within the invoice period, will update the project schedule <br />quarterly, and other contract maintenance activities. <br />DELIVERABLES: <br />monthly progress reports submitted with invoices; <br />quarterly schedule updates; <br />contract maintenance. <br />1c – Management of Subconsultants <br />As the prime consultant, WRT be responsible for managing all subconsultants, including, <br />but not limited to, the quality and timely submittal of their work products, attendance at <br />scheduled meetings/hearings, communication with City staff, and timely submittal of <br />invoices. <br />ATTY/AGR.2024.139/Wallace Robers & Todd LLC (Downtown & Central RWC) (Page 13 of 60)
