Page 1 of 4 <br />City of Redwood City 1017 Middlefield Road, Redwood City, CA. 94063 Tel: 650-780-7000 www.redwoodcity.org <br />STAFF REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br />DATE: January 13, 2025 <br />SUBJECT <br />Agreement with Granicus to procure OneMeeting, an agenda and meeting management automation and <br />workflow system <br />RECOMMENDATION <br />By motion, approve and authorize the City Manager to execute a Software as a Service Procurement and <br />Professional Services Agreement with Granicus to procure OneMeeting, an agenda and meeting <br />management system for a term of approximately five years for a total contract amount not to exceed <br />$310,159. <br />STRATEGIC PLAN GUIDING PRINCIPLE <br />Excellence in Government Operations <br />BACKGROUND <br />In 2017 the City facilitated an RFP process to acquire a new agenda management system, which led to a <br />3-year agreement with Hyland Software to procure the OnBase agenda and contract management <br />software. The agreement was amended in 2020 to add an additional 3 years of software maintenance, <br />which expired in 2023. A second amendment agenda item on tonight’s meeting will request approval of <br />a second amendment to the Hyland agreement to authorize payments for work performed in 2023 and <br />2024 and to extend the agreement to May 31, 2025 in part to ensure continuity in service as the City <br />transitions to the new agenda management system. <br />In 2019, Hyland made major updates to their agenda management system and began phasing out the <br />legacy product the City had been using. At the time, upgrading to the new system required significant <br />monetary investment and staff time to reconfigure the highly customized system and to retrain citywide <br />users. After consideration, staff determined that upgrading to the new system was not a viable option. As <br />6.C. - Page 1 of 40 <br />81
