REV: 07-08-25 VR <br />EXHIBIT “A” <br />SCOPE OF SERVICES AND FEE <br />Task 1. Project Management, up to $125,217 Time and Materials (T&M) <br />This task provides the overall management of the project. This task includes: <br />Task 1.1. Project Work Plan and Progress: consultant to develop a project work <br />plan, track, and report progress, prepare and maintain a monthly project schedule, <br />perform quality control reviews and quality assurances of submittals, and <br />communicate project issues with the City and OneShoreline. <br />Task 1.2. Project Meetings: Consultant to coordinate, host (virtually or in person <br />as requested by the City Engineer, Senior Civil Engineer or their designee), <br />and prepare and circulate meeting agendas and minutes with the City, <br />OneShoreline, and other jurisdictional staff as needed, including but not limited <br />to: <br />a.Project kick-off meeting <br />b.Bi-weekly progress meetings <br />c.Quarterly TAC and PMT meetings <br />d.Data collection summary meetings <br />e.Alternatives definition and analysis meetings <br />f.Basis of design review meetings <br />g.CEQA and NEPA related meetings <br />h.60 percent design plans, specifications, and estimates (PS&E) review <br />meeting <br />Task 1.3. Grant Assistance: Consultant to prepare project progress <br />documentation to assist with FEMA Hazard Mitigation Grant Program <br />compliance statutes, prepare responses to Requests for Information <br />(RFIs), and provide information necessary for grant quarterly reporting. <br />The City will upload grant reports to the grant administrator. <br />Deliverables: PDF versions of the following distributed via email to the City’s <br />Engineer, Senior Civil Engineer and/or designees: Meeting agendas and <br />materials, meeting minutes within three business days of meeting, monthly <br />schedule updates, progress reports, monthly invoices, grant quarterly <br />documentation following formatting provided by the grant administrator, <br />CalOES, and the City.
