REV: 11-19-25 LR <br />EXHIBIT “A” <br />SCOPE OF SERVICES AND FEE <br />Task 1. Project Management, up to $92,613 Time and Materials (T&M) <br />This task provides the overall management of the project. This task includes: <br />Task 1.a. Project Scheduling, Quality Assurance, Cost Management, Staff <br />Management, Project Coordination. <br />a. Consultant will prepare a detailed Project Work Plan identifying the scope, <br />schedule, goals, key activities, critical path items, key milestones, <br />deliverables, and potential project risks (risk register). The Work Plan will <br />include QA/QC procedures for the development and finalization of project <br />deliverables. <br />b. A senior Quality Control Manager from the consultant team will ensure that <br />reports and studies are of the highest quality, and the plans are biddable, <br />buildable, and administrable. <br />c. Consultant’s Project Manager will use Wood Rodger’s accounting system, <br />BST11 enterprise, to monitor and control budgets on a task-by-task basis <br />to ensure that costs are kept within budget limitations. <br />Task 1.b. Project Meetings: <br />a.Consultant to host a kickoff meeting for the project team members and <br />the City (City Engineer or designee, City’s Project Manager, and City <br />Staff) to review the Work Plan, identify primary points of contact, and <br />plan times for recurring Project meetings. <br />b.Consultant will conduct regular bi-monthly progress meetings with the <br />City (City Engineer or designee, City’s Project Manager, and City Staff), <br />and as needed. <br />c.Consultant will conduct other meetings with stakeholders and sub- <br />consultants to collect survey information, share hydraulic model <br />updates, share design concepts, for 30% PS&E reviews, for the final <br />grant submission, and as needed to check task status to maintain <br />schedule. Consultant will prepare agendas and track action items in <br />coordination with the City’s Project Manager. Meetings will be held <br />virtually. <br />Task 1.c. Grant Assistance: <br />a.Consultant to prepare project progress documentation to assist the City <br />(City Engineer or designee, City’s Project Manager, and City Staff) <br />with FEMA Flood Mitigation Assistance (FMA) grant project compliance <br />statuses, prepare responses to Request for Information (RFIs) and <br />provide necessary information to the City Grant for Quarterly Reports <br />(QPRs). This includes providing scope of work, budget, and schedule <br />updates identifying over-runs; and documentation for environmental <br />planning and historic preservation, floodplain management, and other <br />ATTY/AGR.2025.317/Wood Rodgers, Inc.
