<br />6.1F <br />Pa e 1 <br /> <br />REPORT <br /> <br />To the Honorable Mayor and City Council <br />From the Ci Mana er <br /> <br />April 26, 2010 <br /> <br />SUBJECT <br />Amendment No.3 to the agreement with The Kastrop Group, Inc. for professional <br />services related to the renovation of the Main Library. <br /> <br />RECOMMENDATION <br />Approve, by motion, Amendment No.3 to the agreement with The Kastrop Group, Inc. <br />in the amount of $10,946.65 for a total not-to-exceed contract value of $113,196.65. <br /> <br />BACKGROUND <br />The renovation of the Main Library's second floor and the heating, ventilation, and air <br />conditioning system (HVAC) was substantially completed in January of this year. The <br />Kastrop Group, Inc. provided design, construction supportl and related services for this <br />project. <br /> <br />On February 12, 2007, Council approved the original agreement with The Kastrop <br />Group, Inc., in the amount of $66,500.00. The original scope of work included the <br />reconfiguration of the existing space on the Library's second floor to accommodate <br />Project Read activities, 50 additional internet stations, and to create a new teen area. <br /> <br />On August 27,2007, Council approved Amendment No.1 in the amount of $10,750.00 <br />which provided for supplementary design services so that 20 of the 50 internet stations <br />initially intended for the second floor could be relocated to the existing computer <br />technology lab on the first floor. The additional design work reduced demand on the <br />HVAC system, allowed for computer station configurations which accommodate multiple <br />patrons, expands seating and aisle space on the second floor, and creates a quieter <br />environment for adult computer users. <br /> <br />On November 9, 2009, Council approved Amendment No. 2 in the amount of <br />$25,000.00 to provide additional post-design services during construction as determined <br />at the pre-construction meetings with the construction contractor, Rodan Builders. <br />These services were related to the mechanical and structural engineering oversight of <br />the roof mounted HV AC installation. <br /> <br />Some existing conditions remained unknown until uncovered during the actual course of <br />construction. Amendment No.3 provides for additional post-design services that were <br />required to resolve seismic and structural support issues related to the installation of <br />glass meeting room partitions in the newly created teen area. The project manager was <br />apprised when the need for additional services was realized and subsequently <br />continued the work, rather than stop construction to receive additional funding <br />authorization, so as not to delay completion of a time sensitive project that was <br />disruptive to operations and that had displaced staff. <br /> <br />Staff recommends approval of Amendment No. 3 to the Agreement with The Kastrop <br />Group in the amount of $10,946.65 to provide the additional construction administration <br />services. <br /> <br />ALTERNATIVES <br />Council may choose not to approve Amendment NO.3 to this agreement. <br />
