6.2C <br />Page 1 <br />REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br />May 24, 2010 <br />SUBJECT <br />Final Acceptance -Middlefield Road In-Roadway Warning Light System <br />RECOMMENDATION <br />Accept, by motion, the Middlefield Road !n-Roadway Warning Light System Project and <br />authorize the release of bonds and retention according to the City's procedures. <br />BACKGROUND <br />On August 24, 2009, Council awarded the construction contract for the Middlefield Road <br />In-Roadway Warning Light System Project to Republic ITS, Inc of Fremont. The work <br />for this project included the installation of warning lights embedded into the roadway <br />surface, pedestrian detection bollards, new street lights, concrete improvements, <br />pavement striping, and pedestrian warning signage. This project has helped to facilitate <br />pedestrian crossings at the mid-block crosswalk on Middlefield Road between Jefferson <br />Avenue and Main Street. <br />The project was awarded for a base bid of $118,875.00. The project was successfully <br />completed in accordance with the plans and specifications. One {1) change order <br />totaling $5,206.95 was issued. The final contract amount is $124,081.95 which is 4.4% <br />more than the initially awarded contract amount. The change order resulted from <br />quantity adjustments and unforeseeable conditions encountered during construction. <br />Unanticipated work included relocation of the street light poles due to utility conflicts, <br />replacement of damaged sections of sidewalk, curb and gutter, and installing additional <br />wires for the street lights. <br />ALTERNATIVES <br />Council may choose not to accept the project andlor not to authorize the release of <br />bonds and retention which would be contrary to the terms of the contract, prior Council <br />action, and the public contracting code. <br />FISCAL IMPACT <br />Sufficient funding for this construction contract was previously appropriated as Gas Tax <br />Construction Fund -Middlefield Road Improvements.
