<br />6.30 <br />Paae 1 <br /> <br />REPORT <br /> <br />To the Honorable Mayor and City Council <br />from the City Clerk <br /> <br />July 12, 2010 <br /> <br />SUBJECT <br />Enactment of a policy on the use of technology and computer hardware prohibiting <br />access to internet, intranet, electronic mail and texting during noticed meetings <br />(applicable to the City Council and Boards, Commissions and Committees). <br /> <br />RECOMMENDATION <br />Approve a Resolution adopting a policy that prohibits accessibility to certain applications <br />during City Council and Boards, Commission and Committee Meetings. <br /> <br />BACKGROUND <br />The City Clerk Department has been pursuing technology that would lead to a <br />paperless staff report/agenda creation process. This is an initiative that speaks to <br />Council's desire to have departments be more creative and efficient. <br /> <br />With this initiative in the horizon, the Council would no longer receive hardcopies of <br />agenda packets. Instead Council would receive a soft copy which then could be <br />annotated and reviewed at home via an iPad. This would require the city to purchase <br />iPads for the City Council to access its individual annotated agenda packet during the <br />City Council meeting. <br /> <br />Interim City Attorney Roy C. Abrams, recommends the enactment of a policy that <br />protects Council and prohibits access to internet, intranet, email and texting during the <br />City Council proceedings. Mr. Abrams also is recommending that the policy be <br />applicable to Boards, Commissions and Committees. <br /> <br /> <br />City Council three appointees will be using iPads in the near future. <br /> <br />Capital Improvement Funds will be used. <br /> <br />ATTACHMENTS <br />Resolution enacting a policy applicable to the City Council, Board and Boards, <br />Commissions and Committees. <br />
