<br />6.18 <br />PaQ.e 34 <br />Attachment"B <br /> <br />REDWOOD CITY SCHOOL DISTRICT EXTENDED DAY <br />LEARNING PROGRAM POLICIES & PROTOCOLS <br /> <br />ATTENDANCE <br />Attendance policy is dictated by the California Department of Education. Programs must <br />maintain an eighty-five percent attendance rate. Ifprogram attendance drops below 85% <br />but is still above 75% the state will provide technical assistance to help raise the <br />attendance rate and this technical assistance will continue until the program attendance <br />rate is at 85%. Ifprogram attendance drops below 75% the state will provide intensive <br />technical assistance until the required 85% attendance rate is achieved. If the attendance <br />rate remains below 75% for more than 3 attendance reporting periods, future funding may <br />be reduced by the state. Dual funded sites need to achieve 100% attendance in ASES and <br />85-100% in 21 st CCLC. <br /> <br />The state After School Education and Safety grants program requires program attendance <br />to be reported twice a year - January 31 and July 31. When providers report attendance <br />to the Redwood City School District they must use the CDE grant attendance forms. <br />Providers will also submit a copy of a Cityspan report verifying the numbers they submit <br />and sign this copy of the report agreeing to the reported numbers. In order to have time <br />to review and submit the forms to the state, the fonns must be completed by the provider <br />and returned to the After School Coordinator two weeks in advance of the state due date. <br /> <br />ATTENDANCE FORMS ARE DUE TO THE DISTRICT: <br /> <br />January 18 - for period July 1 - December 31 <br />July 18 - for period January 1 - June 30 <br /> <br />Attendance (total students served) is calculated by adding together the number of students <br />who participated each day of the program during the reporting period. For example, if 30 <br />students participated Monday, 40 Tuesday, 35 Wednesday, 40 Thursday and 20 Friday, <br />then the total students served that week is 165. The form also asks for the number of <br />days the program was in operation during the program period. <br /> <br />To determine your program attendance rate, the state compares your annual total students <br />served to the number of students proposed to be served in the original grant request. So if <br />a program proposed to serve 90 students for 180 days, the total students served should be <br />16,200 to achieve 100% attendance and 13770 to achieve 85% attendance. The state also <br />looks at the annual total number of days the program is in operation as reported on a <br />program's attendance reports. This should not exceed the number of days proposed in <br />the original grant request. <br /> <br />For middle school programs, although the state only requires students to attend 3 days per <br />week, your attendance rate is based on a 5-day a week program.
