7ID -I <br />April 28, 2003 <br />Subject <br />Award of Contract — City Hall Computer Room - HVAC Replacement Project <br />Engineering File No. 803 -02 <br />Recommendation <br />Approve the Contract Documents and award the contract for the City Hall Computer <br />Room — HVAC Replacement Project to the lowest responsible bidder, A & A <br />Construction of Los Gatos, California, for their low bid of $59,000, and reject all other <br />bids. <br />Background <br />The computer room in the City Hall, which houses the City's main computer servers, is <br />in need of a new HVAC upgrade. With the increase in servers and other computer <br />equipment, the existing HVAC system is not adequate to handle the additional heat in <br />the room, and there is concern of the City's main computer system failing. After <br />reviewing the bids and the Engineer's Estimate for the cost of construction, the bid is <br />considered a fair and responsive bid. <br />A complete copy of the agreement is available for review in the City Clerk's Office. <br />Alternatives <br />Do not approve the contract for the City Hall Computer Room — HVAC Replacement <br />Project, which will compromise the existing system. <br />Page 1 of 2 <br />
