3. 1 E- <br />REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br />September 22, 2003 <br />Subject <br />Final Acceptance — City Hall Computer Room - HVAC Replacement Project <br />Recommendation <br />Accept the improvements for the City Hall Computer Room — HVAC Replacement <br />Project, and authorize the release of bonds. <br />Background <br />On April 28, 2003, the City Council approved the Contract Documents and awarded the <br />contract for the City Hall Computer Room — HVAC Replacement Project to the lowest <br />responsible bidder, A & A Construction of Los Gatos, California, for their low bid of <br />$59,000. <br />The computer room in the City Hall, which houses the City's main computer servers, <br />was in need of a new HVAC upgrade. With the increase in servers and other computer <br />equipment, the existing HVAC system was not adequate to handle the additional heat in <br />the room, and there was concern of the City's main computer system failing. By <br />increasing the size of the air conditioning system to handle current and future loads, the <br />City's computer system will not be compromised by excessive heat and lack of air <br />circulation. <br />Alternatives <br />Do not accept the improvements for the City Hall Computer Room — HVAC <br />Replacement Project, which will be contrary to prior Council action. <br />Fiscal Impacts <br />Funds in the amount of $75,000 have been appropriated in the FY2002 -2003 Capital <br />Improvements Program Budget for the City Hall Computer Room — HVAC Replacement <br />Project. <br />Brian Lee Bruce Liedstrand Ed Everett <br />Senior Civil Engineer Community Development Services Director City Manager <br />5/libraryheporvbriardAccept Comport Room NVAC <br />
