B. - Page 1 <br /> RE PO RT <br /> To the Honorable Mayor and City Council <br /> From the Cit Mana er <br /> March 5, 2012 <br /> SUBJECT <br /> Award of Contract for Printing Services of Recreation Activity Guide <br /> RECOMMENDATION <br /> Award by motion the contract for the printing of Recreation Activity Guides to the lowest <br /> responsible bidder, Folger Graphics of Hayward, California, for its low bid of $72,720. <br /> BACKGROUND <br /> In order to advertise the wide variety of fee based classes, sports leagues, senior and <br /> human service programs, and special events, the Parks, Recreation and Community <br /> Services Department (PRCS) produces three activity guides per year that are mailed to <br /> every Redwood City resident as well as to participant households outside of the City <br /> limits. The existing agreement for printing services recently expired and Staff <br /> developed a new Request for Proposal (RFP). With the assistance of the City Clerk's <br /> Office a notice inviting sealed bids were advertised in local newspapers twice over a <br /> three week period. <br /> ANALYSIS <br /> The City received one bid before the end of the advertised due date, and the vendor <br /> that submitted the bid is Folger Graphics. Folger Graphics has been the printing <br /> company that we have worked with in the past. Staff has been very pleased with Folger <br /> Graphics' professionalism, timeliness, and quality of product for several years now. <br /> Bidder Bid Amount <br /> Folger Graphics $72,720.00 <br /> Staff Estimate $80,000.00 <br /> Recommended Bidder Folger Graphics <br /> Substantiation: Folger Graphics is the only responsible bidder. <br /> The City in its sole discretion may extend the agreement for two (2) additional one-year <br /> terms. <br />
