T I D-1 <br />REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br />October 27, 2003 <br />Subject <br />Amendment No. 1 to the Consultant Agreement with beats sport relating to the Fair <br />Oaks Elementary School Sport Field Improvement Project. <br />Recommendation <br />Approve Amendment No. 1 to the agreement with beats sport for providing professional <br />design consulting services for the Fair Oaks Elementary School Sport Field <br />Improvement Project, for an additional amount of $29,638.00. <br />Background <br />In August 11 2003, the City Council approved and authorized the execution of an <br />agreement with beats sport for providing professional design consulting services for the <br />Fair Oaks Elementary School Sport Field Improvement Project in the amount of <br />$86,250. This design portion of the agreement is complete, and only the construction <br />support elements remain to be rendered. This project is being funded by the County of <br />San Mateo through the Community Development Block Grant, the Redwood City <br />Elementary School District, and the City's General Fund. <br />At the time of the execution of the original contract, no electrical improvement was <br />anticipated. The thought was to improve the field using synthetic turf with the budget <br />that was prescribed. Staff wanted this project designed on a fast track in order to install <br />the improvements before the winter rain, and have the facility ready for service before <br />the beginning of the 2004 sporting season. <br />At the conclusion of the conceptual design stage, it became evident that the budget will <br />be able to accommodate new lighting for the field. Currently, the field does not have <br />any lights for evening and night time sports. By installing the lights, the hours of use on <br />the field can be extended significantly. This extension is consistent with the philosophy <br />of using synthetic turf. The turf is designed for the heavy activity, and the lights enable a <br />better utilization of the field, making the extra funds spent on synthetic turf yields more <br />hours of play. Adjacent property owners have been contacted about the lighting and <br />are in support. <br />The design of the lights has to be approved by a State Architect, since it will be located <br />on a school site. This amendment includes the effort to seek this approval. <br />With the added amount of $29,638, the revised total of the agreement is $115,888. <br />
