REPORT <br /> To the Honorable Mayor and City Counci <br /> From the City Manager <br /> <br />April 1, 2002 <br /> <br />Subject <br />Purchase of a Xerox Document Center Copier 460 for the Parks, Recreation and <br />Community Services Department, Community Activities Building <br /> <br />Recommendation <br />It is recommended that the City Council, by motion, approve the purchase of one Xerox <br />Document Center 460 copier for the Parks, Recreation and Community Services <br />Department, Community Activities Building. <br /> <br />Background <br />The Parks, Recreation and Community Services Department (PRCS) purchased its current <br />Xerox 5355 copier for the Community Activities Building in May 1995. It is utilized by <br />department staff from Administration, Parks, Building Maintenance, Custodial Maintenance, <br />and as a back up for the Red Morton Center. Having made more than 775,000 copies over <br />that time, it is at the end of its useful life. Our current maintenance agreement on this <br />copier is over $4,000 per year. <br /> <br />The PRCS Department wishes to utilize the Cooperative Purchase Provisions from the <br />County of Los Angeles (BPA#071386404) with this purchase because we are pleased with <br />the performance and customer service that Xerox has provided. Staff researched various <br />Xerox models available and-selected a Xerox Document Center 460 as best meeting the <br />needs of the department. In addition, Xerox will accept our current Xerox 5355 copier as a <br />trade-in, thus reducing the purchase price.. Yearly maintenance will be approximately <br />$1,400 per year. <br /> <br />Alternative <br />City Council could not approve the purchase of the copier. <br /> <br />Fiscal Impact <br />The cost of the Xerox Document Center 460 copier is $19,766.45 which includes the cost <br />of the trade-in, tax, and delivery.
