EXHIBIT "A" <br /> <br /> SCOPE OF SERVICES <br /> <br />Moore lacofano Goltsman (MIG), Inc., will organize and conduct a series of three educational forums <br />on urban design issues for the City of Redwood City. Kristen Pickus will serve as Project Manager for <br />this project and will perform all work with assistance from other MIG staff as needed. <br /> <br />MIG will work closely with the City to design, plan and produce the forums. While the forums will be <br />Redwood City focused community events, they will be open to interested parties from throughout the <br />region. It is assumed that the forums will be held in the fall and winter of 2003 on a Wednesday <br />evening, from 6:00PM - 7:30PM, in Redwood City (exact dates and location to be determined). The <br />forums may be preceded by an optional no-host reception and/or followed by an optional no-host <br />dinner with the guest speaker. <br /> <br />The Forum at Redwood City: MIG Scope of Services <br /> <br />TASK 1: PROJECT MANAGEMENT AND COORDINATION <br />Throughout the project, MIG's Project Manager will maintain regular contact with the City's Community <br />Development Director and staff via telephone and email to ensure that all project activities are <br />performed in a timely and well-coordinated manner. <br /> <br />TASK 2: THE FORUM AT REDWOOD CITY (SERIES OF 3 EVENTS) <br />Working with the Community Development Director and staff, MIG's Project Manager will develop, <br />plan and staff a series of three educational forums. MIG's Project Manager will be available on-site as <br />needed at the forums to facilitate and help ensure that the events run smoothly. <br /> <br />MIG responsibilities: · Work with the City to identify and select the topics and potential speakers for the forums; <br /> · Invite and confirm the guest speakers, including coordinating with them about their <br /> presentation, assisting with any travel arrangements, and collecting their bios and any <br /> handouts; <br /> · Prepare a simple, one-page flyer to be used as an invitation to each forum; <br /> · Work with the City to coordinate meeting logistics, including the mailing list, venue selection, <br /> room set-up, and catering arrangements if needed; <br /> · Prepare meeting materials including an agenda, sign-in sheet and handouts (if available); <br /> · Facilitate and staff the forums; <br /> · Prepare a brief written summary of the forum results; and <br /> · Draft speaker thank you letters for the City to sign. <br /> <br />City responsibilities: · With guidance from MIG, coordinate ail logistics for the forums, including securing meeting <br /> locations, coordinating room set-up, making all catering arrangements, and securing any <br /> needed audio-visual equipment (it is assumed that the City will pay for any costs incurred for <br /> any of these items); <br /> · Produce and maintain a mailing list; <br /> · Reproduce and mail or distribute the invitation flyers; <br /> · Collect and process any registrations/RSVPs for the forum if needed; <br /> · Duplicate any handout materials; <br /> · Produce nametags; and <br /> · Assist with check-in and on-site logistics the day of the event. <br /> <br />Agreement under $10K 4 <br />City Attorney Approved Version 090103 <br /> <br /> <br />
