E. - Page 1 RE PO RT To the Honorable Mayor and City Council From the Cit Mana er June 11, 2012 SUBJECT Amendment Number 5 to Agreement with Bottomley Design and Planning for Urban Design and Planning Consultant Services for the Stanford in Redwood City Project RECOMMENDATION Approve Amendment Number 5 to Agreement with Bottomley Design and Planning to complete the Stanford in Redwood City Precise Plan. BACKGROUND On July 20, 2008, the City executed an agreement with Bottomley Design and Planning for assistance with the preparation of a Precise Plan for the Stanford in Redwood City project. The original agreement for $40,120 was executed by the City Manager because it was under $60,000. On August 24, 2009, Bottomley Design and Planning requested a$27,030 amendment to its contract followed by a second amendment for $21,550 in 2010 and a third and fourth amendment in 2011 for $39,074 and $19,274, respectively. ANALYSIS Bottomley Design and Planning requests a fifth amendment to the contract in the amount of $12,364, which will bring the total cost of services to $159,412. The amendment provides funds for costs that were unanticipated in the original scope and are beyond that of the subsequent amendments, including additional Precise Plan revisions and refinements, preparation, printing and mailing of additional final Precise Plan documents, and additional meetings and hearings. Stanford University has agreed to provide funds to cover this expense. It is anticipated that the Final Stanford Precise Plan will be complete late summer or early fall 2012. ALTERNATIVES Do not authorize execution of Amendment Number 5 to Agreement with Bottomley Design and Planning. FISCAL IMPACT None. Stanford University will pay for all costs associated with the Stanford Precise Plan.
