6.4.E. - Page 1 <br /> RE PO RT <br /> To the Honorable Mayor and City Council <br /> From the Cit Mana er <br /> September 10, 2012 <br /> SUBJECT <br /> Approval of Agreement for Professional Services with Vanir Construction Management, <br /> Inc., for Project Management Services <br /> RECOMMENDATION <br /> 1) By motion, approve an Agreement with Vanir Construction Management, Inc., in the <br /> amount of $750,000, to provide Project Management Services for the Redwood Creek <br /> Culvert Relocation Project and the Block 2 Development Project, and authorize the City <br /> Manager to execute the Agreement. <br /> 2) Adopt a resolution amending the FY 2012/13 Capital Projects Fund budget to provide <br /> an appropriation for funding the Block 2 Development Project. <br /> BACKGROUND <br /> At its meeting on July 9, 2012, the City Council authorized the City Manager to <br /> negotiate an agreement with Vanir Construction Management, Inc., for Project <br /> Management Services in support of both the Redwood Creek and Block 2 Development <br /> projects. Staff recommended Vanir from the five project management firms that <br /> responded to a Request for Proposal. <br /> ANALYSIS <br /> The scope of work negotiated with Vanir provides critical staffing support for the early <br /> delivery of the Redwood Creek Culvert Relocation Project. This project bid in August <br /> and is scheduled for City Council review at this September 10, 2012, Council meeting. <br /> The project manager has been working with City engineering staff and the consulting <br /> design engineers since the pre-bid meeting in July to assure a smooth transition from <br /> the office to the field. This underground project is critical to the development of the <br /> Block 2 office project and also requires focused coordination between the contractor, <br /> City Hall, visitors to the Downtown, and the Downtown business community. <br /> Coordination of contractor schedules and provision of notice to the Redwood City <br /> community is a critical portion of the Project Manager's responsibility. This project is <br /> anticipated to be under construction through April 2013 and require up to 20 hours of <br /> project management support each week. <br />
