6.1.H. - Page 1 RE PO RT To the Honorable Mayor and City Council From the Cit Mana er January 14, 2013 SUBJECT Amendment Number 1 to Agreement for Professional Services with NBBJ LP for design and pre-construction support services RECOMMENDATION Approve Amendment Number 1 to the Agreement for Professional Services with NBBJ LP in the amount of $106,000 for construction documents and preconstruction support services for the City Hall safety and reconfiguration project. BACKGROUND On October 22, 2012 the City executed an agreement with NBBJ for professional design services in conjunction with the City Hall Office Remodel Project. This project provides for improved security and operational efficiencies in the City Manager, City Attorney, and Community Development Director's Office areas. The Agreement was in the amount of $35,500. ANALYSIS As per the original Agreement, NBBJ completed Schematic Designs of the improvements and provided conceptual cost estimates from which a preferred design was recommended for approval. The recommended building changes provide improved security, as well as improved operational efficiency for more effective staff communication and work flow. The new designs also allow for administrative staff to remain close in proximity to their respective departments and co-workers and also better configure the building for meeting space and teleconferencing. The Amended Agreement will allow for the Consultant to move forward with the recommended design and produce Construction and Bid Documents, Construction Cost Estimates, and provide Bid Support services. The amended agreement in conjunction with the original agreement totals $141,500 and is based on the consultants' hourly rate schedule. It is anticipated that construction documents will be complete in April 2013 and construction to commence in late May 2013 with a ten to twelve week construction schedule. ALTERNATIVES Council may choose not to authorize the execution of Amendment 1 and direct staff to set aside the physical improvements to the City Managers, City Attorney, and Community Development Directors offices.
