Scope of WorW Tasks <br /> Phase 1: Discovery <br /> The Contractor shall complete the following tasks: <br /> Participate in telecom technology discussion with City IT management; <br /> Interview key Departmental staff; <br /> Document call flow, call coverage requirements; <br /> On site observation of key call answering positions and call centers as necessary and identify and <br /> document related applications; <br /> Document key improvement targets and/or improved business process objectives; <br /> Obtain information and document existing related hardware and telco circuits; <br /> Develop understanding and document WAN/LAN topology requirements; <br /> Conduct Workshops to review technology alternatives; <br /> Identify required current applications; <br /> Identify desired future applications and provide ROI analysis for consideration; <br /> Develop bidder trade sponsorship language and format if required; <br /> Define required security procedures and best practices for the implementation of a new system; <br /> Assemble bidder list to include major solution providers and strong business partners; <br /> Develop deployment strategy; <br /> Identify client metrics for evaluation and selection criteria; and <br /> Create and distribute Request for Proposal to qualified vendors. <br /> Deliverables for Phase 1: Contractor shall complete: <br /> • VoIP readiness report that evaluates the City's current infrastructure and provides <br /> recommendations on areas that will need to be remediated; <br /> • Needs Analysis Summary report; and <br /> • Request for Proposal. <br /> Phase Z:Proposal Evaluation <br /> The Contractor shall complete the following tasks: <br /> • Act as primary contact point for vendor questions and answers to provide consistent <br /> researched responses back to the respondents; <br /> • Create an objective methodology for comparison on responses that will ensure that the <br /> final decision will meet required oversight requirements; <br /> • Conduct bidder's conference and invite potential bidders to review RFP response <br /> expectations and requirements; <br /> • Generate follow up questions for each vendor to ensure that RFP response is compliant, <br /> inclusive of all costs, complete and "apples to apples"comparable to other vendors; <br /> • Review each proposal and prepare evaluation report with a detailed cost and capability <br /> comparison; <br /> • Prepare detailed comparative proposal evaluation to include cost, compliance, <br /> compatibility, and capability comparisons; <br /> • Provide recommendations, as appropriate, on vendor/solution suitability; <br /> ATTY/AGR/2014.157/COMMUNICATION STRATEGIES PHONE PROJECT MANAGER <br /> REV:09-04-14 MLG <br /> Page 6 of 7 <br />
