. <br /> • Develop bidders "short list"; <br /> • Co-ordinate and participate in "short listed" vendors' presentations to include detailed <br /> agendas to assure that key client objectives are effectively demonstrated; <br /> • Recommend winning vendor; <br /> • Assist City in negotiating pricing and terms with selected vendor for initial and <br /> subsequent pricing issues (add-ons, maintenance); <br /> • Review contract documentation; and <br /> • Provide presentation and/or presence at Council or Management meetings for project <br /> approval. <br /> Deliverables for Phase 2: Contractor shall complete: <br /> • Detailed comparative proposal evaluation to include cost, compliance, compatibility, and <br /> capability comparisons; and <br /> � Contract ready for signature by the City. <br /> Phase 3:System Implementation <br /> The Contractor shall complete the following tasks: <br /> • Prepare master project plan with task dependencies, resource allocation, and time <br /> required; <br /> • Place all Telco orders for new services; <br /> • Manage collection of all system database information; <br /> • Provide system environmental requirements to appropriate parties; <br /> • Develop equipment room layouts; <br /> • Develop toll fraud protection plan; <br /> • Develop business continuity plan; <br /> • Conduct periodic vendor status meetings (weekly as a minimum); <br /> • Prepare and distribute meeting notes; <br /> • Coordinate user training schedule and agenda; <br /> • Supervise system installation; <br /> • Develop system testing program; <br /> • Supervise cutover coverage; <br /> • Prepare and follow up on vendor punch list; and <br /> • Assist in liquidation of existing hardware. <br /> Deliverables for Phase 3: Contractor shall complete: <br /> • Vendor punch list; <br /> • Master project plan; <br /> • Equipment room layouts; <br /> • Business continuity plan; <br /> • Meeting minutes; <br /> • System testing plan; and <br /> • Functioning telephone system. <br /> ATTY/AGR/2014.157/COMMUNICATION STRATEGIES PHONE PROJECT MANAGER <br /> REV:09-04-14 MLG <br /> Page 7 of 7 <br />
