Section 5: Proposed Scope & Techniques 18
5) Schedule
The project will require 7 months of our staff time and 8 weeks of City staff for a total project duration of
9 months. We propose to maintain 2 full time operators, and one project manager in addition to Mr.
Kelleher's time.
Section Schedule Duration
Pilot June 2 - June 13 10 days
City Reviews Pilot June 16 - June 27 10 days
Street Lighting July 1 - August 25 45 days
Electroliers
Prepare Check Plots August 26 - August 31 5 days
City Mapping - September 1 - October 25 45 days
Conduits
Street Lighting - October 26 - November 15 15 days
Conduits
GIS Data Development November 16 - December 15 30 days
QA December 16 - January 6 20 days
City Review January 7 - January 31 25 days
Final Revisions February 1 - February 10 10 days
City Acceptance February 15 5 days

6) Assumptions and Concerns
Our only contractual concern at this time is the penalties that could be levied if the schedule of final
delivery is not met. As is often the case with these types of projects, situations may arise that could not be
foreseen that affects the schedule. For example, if we find areas where the map sheets are nearly impossible
to read, it will slow the entire process and delay the schedule.
7) City Support
We anticipate working closely with City staff and will require both technical and management staffing to
attend periodic meetings as described in this proposal. Staff time must also be allocated to provide City
review and acceptance of the digital data. We anticipate that this should encompass several days at the end
of each phase as well as at the end of the project period. We may also require additional input from City
staff to further clarify the data.
8) Maintenance
The City will take ownership of the data at the completion of the project and acceptance of all products.
However, Lynx Technologies is available on a contract basis to maintain the data on a regular basis. We
have similar contracts for many agencies throughout the area. Each contract varies by scope and financing
arrangements and we are open to craft and whatever agreement deemed appropriate.
Considering the City's growth and valuable nature of information, we recommend updating the data on a
quarterly basis. Lynx Technologies can guarantee updates of the spatial data provided that all changes are
made available on the 5th of each month. Changes may be in digital or hard copy and may be a utility
drawing, Tract Map, site description, Deed or other descriptive means provided they show the geometry
necessary to maintain the spatial accuracy of the utilities.
Lynx Technologies City of Redwood City Street Lighting GIS Project
