<br />ATTY/AGR/2016.063/SSA LANDSCAPE ARCHITECTS <br />REV: 03-29-16 FF <br />Page 9 of 16 <br />EXHIBIT A – SCOPE OF WORK <br /> <br />TASK ONE – Pre‐design & Assessment for Master Plan <br /> <br />a. Collect and review all available existing conditions information from the CITY, including <br />as‐built plans (including Computer Aided Design (CAD files), title reports, recorded <br />easements, site reports, irrigation data, stakeholder wish lists, and any existing <br />topographic survey information available. This review would also include adjacent <br />concurrent projects such as the YMCA project and the synthetic turf sports field <br />replacement project. <br />b. Conduct a comprehensive topographic site survey base map in AutoCAD format to <br />include boundaries, easements, aerial topography data and rectified ortho‐photo <br />(geometrically corrected, high resolution photo from 2011). <br />c. Conduct a site analysis with the City maintenance staff and design team to perform a <br />detailed reconnaissance of existing conditions, compiling photo and video <br />documentation of all observations on the ground and via drone. <br />d. Prepare an Inventory and Analysis Plan based on the site analysis visit that includes <br />existing conditions, environmental factors, cultural resources, ADA accessibility, <br />circulation patterns, drainage, local and regional connectivity, facility conditions, traffic <br />study, and opportunities & constraints. <br />e. Attend a project kick‐off meeting with the CITY, including maintenance/facilities staff, <br />and the design team to review the program, project goals, project budget, schedule, and <br />existing conditions. SSA will furnish a meeting agenda and subsequent minutes to <br />summarize pertinent information. <br />f. Prepare and maintain a Gantt chart project schedule. <br />g. Establish a cloud‐based project file‐sharing portal for exchanging electronic files <br />amongst the design team and CITY staff. The portal will be accessible remotely and <br />from portable devices. <br />h. Attend an Online Community Engagement Tool (project website) planning meeting with <br />the CITY and Mind Mixer to determine how to maximize the online facet of the <br />community participation. The meeting will address the following questions: What are the <br />benefits to the citizens? How will we get the word out? How is the platform constructed <br />to be universally accessible? What are the expectations for participants? How will the <br />collected information be used? How will we address an issue the community cares <br />about? <br />i. Prepare a draft Community Outreach Strategy Plan that includes a community workshop <br />approach, an online community engagement tool (project website by Mind Mixer), and <br />noticing strategies to reach the widest array of citizens. <br />j. Construct the online community engagement tool (project website by Mind Mixer). <br />k. Initiate the Community Outreach Strategy Plan by launching the project website and <br />notifying the public of its launch and initiate the first community workshop. <br />l. Prepare presentation boards for Community Workshop #1, to include an Existing <br />Conditions Plan, Opportunities & Constraints Analysis, and Idea Boards. The workshop <br />will formalize consensus among attendees on the project program and collect feedback. <br />The workshop will also explain the project to the attendees and help them understand <br />the process. Submit draft boards and agenda to the CITY for review and comment. <br />m. Facilitate Community Workshop #1 to engage the public and begin the visioning and <br />subsequent consensus process. Summarize the workshop presentation, feedback and <br />discussions through minutes. Post all workshop material to the project website. <br />n. Provide coordination and administrative support during this phase of work with the CITY <br />and design team. <br />6.1.D. - Page 12
