REV: 07-30-2021 RL
addition, users can modify existing project data, and reassign work orders from one project to
another.
Email and Alert Notifications:
Consultant’s software will provide a flexible approach to notifying users of new work orders,
emergency work orders, and providing alerts. Email and system alerts will be able to occur at
any status update or any critical process in the system. Alerts will be able to be assigned
to a task, work order, crew, supervisor, department, or other groups defined by the City, which
will notify all parties involved.
Email and Alert Features will include:
Employee notification by work order status
Upcoming PM alerts with required resources
Critical tasks by individual employee
Inbound alerts from another department
Scheduled reports alert
Daily, weekly and monthly alerts by user profile
User-defined criteria
Scheduling and Asset Management:
The Consultant’s software will provide planning and scheduling tools to make sure that resources
are available for team leaders to effectively perform their assigned tasks on time. Planning tools
will include dashboards for “Unassigned Work,” “Work In Progress,” “Past Due,” “PM Forecast,”
“Crew Workload,” “Calendar View,” “Re-assign Work,” “Route Management,” “Review & Close,”
“Planning Daily Values,” “GPS Truck Location,” “Stock Levels,” “Skills Requirements,” “Material
Forecast,” “Drawings,” “Estimating,” or other conditions defined by the City.
Additionally, Consultant’s software will display alerts on the planner/scheduler about warranty
data and any upcoming PM work order by location whenever corrective maintenance is created.
Projects will be able to be used to create work orders across multiple departments for improving
communication and reducing the wait time on the job site. E-mail alerts can be used to alert the
department with a linked work order upon job completion. For example, a street light needs to
be relocated before major construction begins. When the street department work order is
completed, an e-mail alert will be sent to the utilities department to inform them that the job site
is ready.
Employee Tracking:
Consultant’s software will provide the ability to track employee related information such as
name, position, email, phone number, address, department, default funding group, pay rate,
regular schedule, skills, certifications, performance reviews, or other criteria defined by the City.
The City will have the ability to set reminders regarding employee expiration dates, such as
certification renewals that will be needed in the coming future.
ATTY/AGR.2021/Amend No. 3/PSD Hiperweb (Page 8 of 16)
